Administrative Assistant to the Athletics Director
The Administrative Assistant provides support to the Athletics Director and serves as the liaison with parents, public and administration in a positive and productive manner. The Administrative Assistant organizes information and data to be disseminated throughout the District, and manages electronic data including portions of the District website. The Administrative Assistant is an integral part of assisting with overall communication from this office.
Essential Duties and Responsibilities
1. Acts as a liaison between immediate supervisor, community groups and others2. Shares accurate and timely information with various stakeholders3. Uses background information on athletics, coaching, and governing guidelines and policies from organizations such as the PIAA and WPIAL to direct calls and messages, resolve callers' inquiries when appropriate, and ensure coach and student compliance4. Schedules appointments, visitors, conferences and interviews, and greets in a professional and welcoming manner people who enter the office5. Assists the Athletics Director in preparing the budget, developing and supporting special projects, completing purchase orders, and preparing invoices for Booster organizations6. Uses appropriate technology and software to manage various databases and spreadsheets, including weekly eligibility reports and student-athlete schedules and attendance7. Prepares and maintains cash boxes for athletic events, petty cash, and financial reports8. Inputs and maintains athletic physical information each season as required by the PIAA9. Serves as athletic webmaster by preparing, organizing and posting information to the Web, and communicates with Public Relations Representative pertaining to athletic information and news
10. Maintains an organized, accessible filing system and manages district permits for internal and external use of all athletic facilities.11. Obtains, gathers and organizes pertinent data for projects and reporting12. Assists with scheduling events, officials, transportation, venues and event workers and serves as Game Manager for athletic contests as needed13. Assists with ongoing communication and dissemination of information to coaches and confirms athletic contest and game details with opposing schools.14. Processes and disseminates correspondence15. Duties appropriate to the position may be added by the Superintendent or designee
Supervisory Responsibilities - N/A
Education and/or Experience
High School diploma required, Associates Degree preferred. Proficiency in Google Workspace and Microsoft Office applications, and web content management. Minimum five years of experience in an administrative assistant/secretary position preferred.

Act 34 - Pennsylvania Criminal History Record Check as amended by Act 24 of 2011, Act 151 - Pennsylvania Child Abuse History Record Check, Act 114 - Federal Criminal History Record Check (fingerprint check), Mandated Reporter Training (Act 126), and the Act 168 Disclosure Release (Pre-employment Sexual Abuse/Misconduct Disclosure).
